Call for Cycle 11 Archiving Disclosures
The WEST project team recently sent out a call for WEST Archive Holders and Builders to submit records of all materials archived for WEST to CDL via the file upload tool in AGUA. WEST asks that members include records for all materials archived for WEST in Cycle 11 and in earlier cycles to capture any cataloging updates or changes to your local records and ensure WEST’s records are aligned with local records. Archivers should also submit records to OCLC WorldCat to make retention commitments visible and discoverable to a wider audience.
WEST asks that Archive Holders and Builders submit these records to AGUA by May 31, 2022. (Please provide records to OCLC separately on a schedule convenient for your library; it is strongly recommended that this is done around the same time.)
As a reminder, in 2021 the WEST governance groups endorsed updates to the WEST Disclosure Policy. There are two main actions that WEST Archivers should take in this disclosure period if they are not already complete:
- Migrate all existing retained holdings from the shared print second symbol(s) (if in use) to the archiving institution’s primary OCLC symbol(s); to support full indexing of registered retention data, update date format in 583$d to yyyymmdd (20351231)
- Register all existing commitments using the OCLC Shared Print Registration Service
Please note that the WEST project team will provide files to CRL for inclusion in the Print Archives Preservation Registry (PAPR), so WEST archivers are asked not to send files separately to CRL.
