SCP Program Update December 2004
General news:
Despite the fact that the UCSD Libraries were closed during the last week of the year, we were still productive in cataloging serials and monographs. It is very important to us to keep you well supplied with cataloging records!
At UCSD we will be re-organizing our current CJK and Serials Cataloging Division to become the Serials, and Shared Cataloging Division within the Catalog Dept. There will be separate unit heads for CJK and Serials, both of whom will report to Adolfo Tarango as the head of the Division. Much of what Shared Cataloging does currently is monographic cataloging, so it was a bit of a misnomer to keep us with the old Serials Cataloging unit. The Serials Cataloging unit head is out for recruitment at the present time. There are no changes planned in contact information for operational level problems and questions.
Monographs: The end is in sight for the Literature Online sub-databases with only 2100 more titles to catalog. The replacement server was installed on January 24th. Now we will be able to do batch processing of record sets more efficiently. Additions to monographic record sets this month include more conference proceedings for the ACM Digital Library, the SPIE Digital Librarym CRCnetBASE resources, in addition to still more SourceOECD monographic records. We have also distributed the first of several installments of the Early American Imprints I. (Evans). We are beginning to plan for processing the Digitale Bibliothek Deutscher Klassiker im WWW and the National Academy Press monographs.
Serials. We are still working on the EBSCO Business Source Premier serial records and are also in the middle of distributing records for the 4th segment of PCI full text. In January Kluwer and Springer are merging. The name Kluwer will disappear, but their online journals will live on with the name LINK online journals.

SCP Program Update November 2004
General news:
This month, I’d like to update you on platform changes. These are important to us as SCP catalogers normally (but not always!) record the platform in a short form in the subfield “z” of the URL field in the bibliographic records. In the past year we have begun migrating from Blackwell Publishers (Online service) and Synergy online journals to Blackwell-Synergy; Ingenta Select to IngentaConnect; and AIP to Scitation. Later this year will bring the merge of Springer and Kluwer to Springer-Kluwer. A good source for keeping up with these changes is the journal Information Today. It is available for the UC audience on Melvyl through Expanded Academic ASAP and the Library Literature and Information Science A&I databases.
Monographs. We are adding more sub-databases to Literature Online. Soon to make their appearance in your catalogs are the Nineteenth century firstion full text database; Twentieth century English poetry and Modern poetry full text database. Last month I told you that our ability to do batch processing on our records was being held up by an ancient server which handles traffic on the four local Innovative sites. The good news is that the date of replacement for this server is now going to happen in January. Thus we will be able to manipulate and process record sets more efficiently. Additions to monographic record sets this month include more conference proceedings for the ACM Digital Library, the SPIE Digital Library and IEEE Xplore. We have distributed a number of monographic and database records for SourceOECD for those campuses that have access to them electronically.
Serials. We are still working on the EBSCO Business Source Premier serial records. In addition we have cataloged and distributed the SIAM archive (called LOCUS). In the near future we will be working on the fourth segment of PCI full text– currently around 40 titles.

General news:
Monographs. If would seem as if the records that we process through SCP fall into two camps–sometimes our work is “cataloging intensive” and sometimes it is “batch processing intensive.” Serials tend to be “cataloging intensive” but monographs, especially with initial package offerings coming with vendor records, are likely to be amenable to machine manipulation. A prime example of this is one of our current undertakings–Evans Digital a.k.a. (Early American Imprints I). With the exception of transferring signature information from the microform records to the electronic records for this package, we will be processing this set of records with much batch processing, but very little cataloing intervention. We will not wait until we have finished the minority of records that require extensive attention, but will begin distributing them, 1000 at a time, beginning on December 13th. For the time being, we are limited by an old, slow server for Circuit (system for our four local university catalogs of UCSD, UCD, SDSU, and CSUSM. All of us are active users of the system, so at times it is necessary for us to curtail what we process so that we don’t bring the system down. The server is scheduled to be replaced, but until then we need to tread very carefully.
Also covered in the monographic camp this past month are additions to IEEE Xplore, ACM Digital Library, American Institute of Physics conference proceedings, the SPIE Digital Library and a very large contingent of CRC Press books.
Serials. We are actively working on the EBSCO Business Source Premier serial records. Over half of the identified serials (1200 of 2300) have been cataloged. Backfiles of 4 Nature journals have been licensed and the coverage on the cataloging records has been updated (to be distributed on Dec. 13th).

General news:
Monographs. The Evans Digital records have been loaded into our catalog and overlaid on our existing microform records. There are only 840 that we need to process by hand because they didn’t overlay. This is a small “work” price to pay for an excellent set of records. They do not have LC classification numbers but they do have quite a number of genre headings in the records, in addition to subject headings where appropriate. We expect to distribute them in December, if not before.
I received a question from one of the campuses asking about the kinds of monographic records that SCP sends out, so I thought I would take this opportunity to review the variety of monographic records that you receive:
Reproductions: The vast majority of catalog records that we send out are records for PDF reproductions of print monograhs. The separate records describing the electronic version are often created here inhouse based on the record for the text original in batch mode (base set). When we are providing new records for updates to an original set, we run a two step macro. These records all have an “eo” at the end of the OCLC control number at the end of each record. Occasionally we will do original cataloging on OCLC, especially if no one else has cataloged the online version. In any of these cases, we keep the original pagination– in fact the complete description of the original is there. All that is different is the phrase [electronic resource] after the title proper and a note explaining it is an “Electronic reproduction”
Non-reproductions. For resources that appear in HTML and are not page images, we catalog these
as true online “editions” The description follows what appears on the website for the online version. There is no physical size or pagination. We do keep the phrase “electronic resource” after the title proper as well.
California Documents. We follow the precedent of GPO in using catalog records for print documents that have the URLs and other information about the online form added (“single” records). We expect the distribution of state documents to turn increasingly to electronic. If this happens, we will supply “electronic only” records.
Serials. EBSCO Business Source Premier has been keeping us busy this month. For those campuses that received the SourceOECD records for monographs and serials, we will soon be sending records for their statistical databases.

Monographs. This month we received notification that our customized order for MARC records for the Evans Digital set (aka Early American Imprints I) is ready for pick up. This is the second set of vendor records that will be processed through SCP. (The first being the 14,500 records in the ProQuest Literature Online database).
Since the Evans records represent the first vendor records that we will be processing entirely in batch mode, I thought it might be of interest to explain our plans for handling this set. UCSD already has the records for the microopaque edition of the Evans set. These records have rare book signature information on them. This information was deleted from the records for the digital edition. On the advice of our Special Collections cataloger, we were asked to design a way to retain the signature notes on the records that we are going to distribute to the campuses. So with an elaborate process of protection of some fields and overlaying of others, we decided that on our current records we would 1) change all 500 fields that begin with “Signature” to local 590 fields; and 2) move the Evans citation number temporarily into an author field on our existing records. We asked the vendor to also move the citation number on the digital records into an author field. Thus, armed with an indexed “author field” match point on both records, our intention is to overlay the bibliographic records for the microopaque format with the content of the new records. Thus our records will gain the control numbers from the vendor plus all of the URLs, but retain signatures. Then it is a “simple” matter of retagging and moving fields back to their original proper field number. With just a few more machinations, UCSD will have bib records for the microopaque edition but with brand new URLs added. And the campuses will have digital records, but with the desired signature information kept. Once we have these records distributed (soon, soon…) we will repeat the process for Shaw-Shoemaker (Early American Imprints II).
Serials. Very recently we received the green light to start cataloging the EBSCO Business Source Premier records. There will eventually be more than 2300 titles in this database. So far we have completed cataloging of 450 titles. In addition ScienceDirect is giving us a burst of new back content.

SCP Program Update July 2004
General news:
Monographs. One of the “spinoffs” in producing record sets for the campuses has been that we contribute many of these same records to OCLC as OCLC WorldCat Collection record sets. This month Adolfo asked Renee to make a chart of our growing number of sets at: http://orpheus.ucsd.edu/disc/worldcat.htm <http://orpheus.ucsd.edu/disc/worldcat.htm> We do seem to have a corner on the market with conference proceedings as we produce record sets for IEEE Xplore, ACM Digital Library, and now SPIE. The initial SPIE Digital Library began with conferences in 1998 forward. Now they are in the process of digitizing their conferences back to 1990. All those thousands of yellow books!
Serials. Emphasis lately has definitely shifted from serials to monographs. All that is new this month are additions to JSTOR (35 titles), American Geophysical Union (14), Royal Society of Chemistry (41), PCI full text (46), and Project Muse (10). Much backfile content has been added to Wiley and ScienceDirect plus quite a bit of additional content for the PubMed journals. For example, the Journal of Clinical Investigation now goes back to Volume 1 (1924).

SCP Program Update May 2004
General news:
Monographs. Recent activity for monographs show distributions of records for two databases, one large and one small: 1) the SPIE (Society of Photo-Optical Instrumentation Engineers) conference proceedings (1975 records) and 2) Literature online (LION). The latter consists of vendor records for one of the subdatabases: Database of Twentieth-Century African American poetry (167 titles). Other sub-databases from this set will follow on a weekly basis. After I get back from vacation I will distribute records for the SourceOECD statistical databases.
Serials. I have received two requests this month from bibliographers requesting freely available journals using the journal request form at the SCP website http://www.cdlib.org/inside/projects/scp/SCPcatalog_request.html We have completed the removal of all titles in the Computer Database journals. Access to this database ceased on July 1, 2004.

SCP Program Update March 2004
Monographs. This month has been primarily one of focusing on serials. The only monographs that we have been working on are the SourceOECD. This is now in the hands of the batch processors. They have created the separate records for them and are now inserting the linking fields. These records will, if nothing unforeseen happens, be distributed on May 17th. Thanks to Beverlee French, we were made aware of a nice set of 140 MARC records for the electronic Human Relations Area files (eHRAF). We promptly scooped them off of OCLC and distributed them to the campuses a few weeks ago.
Serials This has been a month of filling in journal backfiles. The ScienceDirect files are finished, as are the Wiley back files. As soon as we get the green light, we will be adding a significant amount of backfile coverage to the Royal Society of Chemistry journals. For new content, we have finished cataloging 50 plus journals in the PsycARTICLES database. We are also beginning to distribute records for the journals in the Education Index online database. Because of the size of the database (more than 250 journals), this will be done gradually.

SCP Program Update February 2004
Monographs. I’m beginning to think that the upgrading of the Literature Online MARC records (LION) is turning into a lifetime commitment! As soon as one of our systems personnel gets back from the IUG conference we will concentrate on finishing the batch corrections to these records so that we can distribute the 7200 records that are currently ready. This month we distributed a second batch of Safari Tech books and added 91 CIAO titles. An outside project (from SCP) that is nearly finished is the cataloging of the SourceOECD books. We expect them to be distributed the third week in April. The serial and statistics portion will follow shortly thereafter.
Serials. Changing the coverage statements on the ScienceDirect serials is progressing– the cataloger is now in the “P’s.” When she finishes she will go back and reinstate the “unsubscribed” ScienceDirect titles. Remember that the coverage for those particular titles (unsubscribed) will show a cessation at the end of 2003. We have added 60 titles to the Open access category, including some from PubMed Central. We are working on a request form for bibliographers to use in requesting cataloging of open access journals which appear in certain abstracting & indexing databases. Other categories of open access resource requests (e.g., websites, databases, and monographs) will still need to be reviewed by JSC before SCP cataloging can take place. Other serial packages that are being worked are the full text journals for the PsycArticles database and a large contingent of journals in the Wilson Education Index.

One piece of VERY good news! The problem with our software with record splitting and distribution has been resolved.
Monographs. We are still working on the MARC records for Literature Online (LION) but expect to complete the batch modifications to the records in mid March. At that point we will distribute records for approximately 5000 of the titles. The remainder will be distributed as they are finished. There are new Safari titles coming as well as 160 monographic titles in the Columbia International Affairs Online (CIAO).
Serials. Because of the addition of the backfiles to the ScienceDirect titles, our coverage statements on the titles are out of sync with what is actually held. Our plan is to add the “new” titles first (actually– previous titles, which have undergone title changes). We are currently in the “P’s.” When this is completed, we will then change the coverage when necessary on all of other ScienceDirect records. Then, and only then, will we resend the records for the unsubscribed titles to which we unexpectedly still retain access. Please note that access to all of these unsubscribed journals will cease after the December 2003 issues. This will be reflected on the records when we resend them.
Now that ProQuest has changed its platform, the Ethnic Newswatch and Gender Watch journal titles now have individual PIDs. We will resend the records to reflect this.
A question arose recently about how SCP catalogers record journal coverage in the 856 (URL) field. What we record is reflective of what is actually on the website for a particular journal (or multiple journals), not what is in the Dates of Publication and/or/Sequential Designation (362) field as reflected in a particular bibliographic record. We call attention to this fact by using a note field that says: Also available via the World Wide Web, including issues published under an earlier [or later] titles.
