SCP Program Update: December 2003

General news:

Monographs. It may seem as if there is a lull in the distribution of monographs, but a more accurate way of looking at it is the lull before the storm! Our work on the 13,000 LION records is now about half done and represents half “batch” global updates and macros and half record-by-record addition of classification numbers, subject headings and uniform titles where appropriate, and verification of headings.

Serials. The recent signing of the Elsevier package has us cataloging “new” titles in the archive and changing coverage dates on current titles. A whopping 530 of the existing ScienceDirect titles now begin with Volume 1. An additional 113 “new” titles (from the archive) begin

with Volume 1 as well.

We have often been asked to be more specific in the volume coverage that we put in the linking fields. So fairly recently we switched to recording in the public note of the link precise beginning coverage at the issue level. In other words, if online access to a journal begins with no. 2 of vol. 13 for Oct. 1925, we would record this in the URL field as: v.13:no.2(1925:Oct.)-. Before this we would have used: v.13(1925)- This includes all journals to the greatest extent possible, even those in the A&I databases (ABI/Inform and Expanded Academic).

I would like to ask for your help in spreading the word about the SCP general listserv. This vehicle is designed to be used for any staff member with questions, queries, praise, constructive criticism, things to discuss–anything to do with the Shared Cataloging Program. Currently there are 32 members. With your input this could become a viable option for discussing particular issues about SCP. Every month this update will be destributed to this listserv. SCP Program Update: November 2003

General news:

Monographs. Having a new macro which allows us to create a single “separate” record with two keystrokes has really revolutionized the processing of creating separate records for monographs that are

considered reproductions. Not having to wait for batch creation will allow us to get records to the campuses on a much more timely basis.

We have completed cataloging all of the records for the University of California Press eScholarship editions. (1363 records). While most of them have restrictions on access, there were a significant number (379) that were freely available. It is worth noting that the Library of Congress has linked to these texts through their BEAT Web Access to Works in the Public Domain.

Serials. This month we have distributed the JSTOR records for their music segment.

In addition to this we are beginning to work on cataloging selected “free” journals, including those under the DOAJ umbrella (Directory of Open Access Journals) http://www.doaj.org I will be listing free journals as sub-sets under the term “Online journals freely available via CDL” in the serials section of the report.

SCP Program Update: October 2003

General news:

Monographs. 1194 records for IEEE Standards were sent to the campuses this month. In process are records for the Literature Online (LION) database. For monographs this database will continue to be our main focus this month (and next month). It is very nice to have vendor records handed to us for this set, but they do need quite a bit of additional work before they come up to the MELVYL minimum standard. I expect to distribute them (12,000 plus) to the campuses in March. Other than LION, we are continually adding new conferences to IEEE, ACM and AIP. The single use macro to create new separate records for the electronic version has proved itself over and over.

Serials. There are a number of changes upcoming for SCP serials. With the Elsevier journals we will be both losing and gaining. We will be sending through deletes for over 200 of the unsubscribed Elsevier titles that we have had access to for several years. On the other hand, we will be redistributing records reporting the addition of backfiles for hundreds of Elsevier titles.

ProQuest has moved their Ethnic Newswatch and Genderwatch databases from the Sofline platform to their own ProQuest platforms. This will enable us to link to each journal title directly. Up to this point each of the records for the journals in these databases contained the same URL as we could only link to a “gateway” entry point. Now we will be sending through new PIDs for each of these journals.

Recently HOTS and SOPAGE approved a change to the URL structure for the Expanded Academic ASAP journals. The new links will point to a browse screen instead of the “heaps of articles” that we point to now. An example is Angiology at http://uclibs.org/PID/33459 Normally this would be a behind the scenes change, but we thought we would take advantage of the fact that we have to look at every URL to include volume, issue, and date information in the URL public notes as well.

One other small piece of news. The SCP website will be migrating to the Inside CDL platform within the next month. It is partly there now The URL for it is: http://www.cdlib.org/inside/projects/scp/ We expect to restart a general audience listserv (instructions for joining are at the bottom of the website) in which participants may discuss particular issues about the SCP program.

SCP Program Update: September 2003

General news:

Monographs. Records for the IEEE Xplore standards have been sent to the campuses. We also will be making in batch mode a number of additions to the following monographic sets: IEEE Xplore, ACM Digital Library, CRCnetBASE, LNCS and University of California Press Escholarship. Once these record sets are finished we will be switching over to the creation of separate records on a one by one basis.. Ryan Finnerty with the help of Renee Chin has created a macro which will create (using the print record) a separate electronic record with two keystrokes. The first keystroke does everything except the placement of the GMD [electronic resource] in the title field. This placement is done by the second keystroke.

Reproductions versus editions. I thought it might be of interest if I explained our cataloging policy for the records that we derive versus the records that we catalog directly on OCLC. Vendor records fall into one of these two camps as well. The data elements for all of our cataloging is spelled out at http://www.cdlib.org/inside/projects/scp/SCPDataElementsMono.html If the format of the content is a PDF file and there is a print version as well, we will catalog the online resource as a reproduction, following the guidelines as set forth in LCRI Rule 1.11A. All of these records are cataloged based on the print version with a note field to show that it is an Electronic reproduction. This is how the monographs that we have derived are cataloged. The OCLC numbers for these records have an “eo” following the OCLC number of the print version. If the content is not PDF (or the content is NOT a reproduction) we do catalog them on OCLC as completely separate electronic editions. The OCLC numbers for these represent the record as it is found on OCLC. Examples of these separate electronic monograph records are MD Consult monographs and Oxford Reference Online.

Serials. This month we distributed many newspapers from all over the country in the Newsbank collection (most campuses) in addition to WilsonWeb art full text online journals (111 titles) to all the campuses and Applied science and technology full text online journals (57) to three campuses. We do have the JSTOR music titles ready to go, but access has not yet been enabled for these titles.

SCP Program Update: August 2003

General news:

New this month are records for the eagerly awaited Safari tech books. There is a limitation throughout the whole UC system of only 15 users at a time and we have indicated this liimitation in the records. Records for the ACM Digitial Library conference proceedings also have been sent out. This is an ongoing set, as ACM is continuing to fill in their backfiles.

This has been a month of catching up with additions to journal sets. Most have been small but there were a number of new additions to Ethnic newswatch and Expanded Academic ASAP. A Tier 2 set, Applied Science & Technology Full Text has been completed and will be distributed in the Oct. 6th file to UCB, UCI, and UCLA. Records for a large newspaper set from Newsbank will also go out on Oct. 6th. Next month will bring additional records for the IIMP (Internationl index to music periodicals).

We have had a number of internal meetings working with the vendor records for the LION databases (approx. 12,000 records). We will succeed (eventually!) in changing them so that they will load correctly in everyone’s system.

SCP Program Update: July 2003

General news:

Most of the monographic sets that we have cataloged ih-house have now been distributed. Still to go are Safari tech books online and the IEEE Xplore Standards. In addition, as new monographs appear in the various packages, we catalog them. Our next big push will involve vendor records, working with them so that they will conform to the monographic data elements as portrayed in http://www.cdlib.org/inside/projects/scp/SCPDataElementsMono.html. The two vendors that I have talked with so far have been very willing to change their records so that they will work in our system. Of course each campus has different needs, so this process may not be easy. From here on, most of the SCP cataloging will involve a mixture of vendor and “home-grown” cataloging.

We are continuing to work on Art Full Text (WilsonWeb) journals and Applied Science and Technology FT journals. We will be able to link directly to the individual journal.in each of these databases.

SCP Program Update: June 2003

General news:

We have been making steady progress in the distribution of monographic records to the campuses. By now you should have received AIP and IEEE Xplore conference proceedings, the Making of America set, the MIT CogSci collection, the CRCnetBASE records and University of California Press eScholarship editions. Still to come (after I get back from vacation) are the ACM Digital Library conference proceedings.

We are currently making plans for distribution of Evans Digital records (Early American Imprints, Series I) when they are ready from Readex. On the journal front, we’re cataloging individual journal titles in the WilsonWeb Arf Full Text database (111 titles) and the Applied Science and Technology FT database (132 titles) (4 campuses).

SCP Program Update: May 2003

General news:

Most of you have received the Making of America records by now. At over 7300 monographic records (and 69 journals) this is by far the largest record set that we have distributed. This is the beginning of a trend where you will see records for many more open access materials being distributed. If you would like us to catalog a scholarly academic open access journal that is indexed in one of our consortially licensed databases please feel free to drop me an email at rculbertson@ucsd.edu . In the subject line include Open Access Journal and in the body of the email include the title, the URL, and where it is indexed. Please don’t send any that require registration (or that do not include information about where they are indexed).

Sometimes we are asked how to distinguish open access materials. One way is by the absence of the phrase “Restricted to UC campuses” in the public note in the URL field. Open access journals that are not a part of larger packages also carry the following title added entry in each record: Online journal freely available via CDL

As I get requests from CDL, we are fine tuning our coverage dates for individual journals. For instance, Ecological applications now has a URL coverage of “Selected article text for v.9:no.3(1999:Aug.)-v.10:no.1(2000:Feb.)” instead of the former “Selected article text for 1999-2000” This is a direct result of the demands made by the new UC-Elinks.

In the coming month we will be distributing records for the University of California Press eScholarship Editions (978 records) on June 30th, followed by IEEE Xplore and ACM Digital Library conference proceedings in July. In the journal list below you will notice a large reduction in journals from Lippincott Williams & Wilkins. The reason for this is that the journals are now being issued through Ovid. They now have the title hook of Journals@OVID.

SCP Program Update: Apr. 2003

General news:

The distribution of monographic and serial records from UCSD is going well. Kudos to Karen Peters and Ryan Finnerty for their capable machine-creation of thousands of “separate” monographic bibliographic records based on the record for the print version. There are no new journal packages, so we have been concentrating on monographs. We will be distributing records to some of the campuses for the MD Consult monographs (with links to the individual titles, rather than the opening screen) on Tuesday, May 27th. This is a trade with the Making of America project, which will then be distributed on Monday, June 2nd. We will hold back all other monographic records that week, so that only MoA records will be in the monographs file.

In the pipeline are records for individual works in three Alexander Street Press databases. They are Black drama, 1850 to present; Asian-American drama, and Early encounters in North America : peoples, cultures, and the environment.

Distribution of records from SCP began with the March 10, 2003 load. The tentative timetable for distribution of the monographic records is as follows:

March 10, 2003: Title: Oxford reference online (101 records) (UCI, UCSB, UCSD) These records are completely separate and did not involve machine-manipulation. Completed.

March 17, 2003: Title: AIP conference proceedings (289 records). Completed.

March 31, 2003: Author: CRCnetBASE (Online service) (474 records). Completed.

April 14, 2003: Title: MIT CogSci Press Collection (via MIT CogNet) DELETION of old “single” records (358 records). Completed.

April 21, 2003: Title: MIT CogSci Press Collection (via MIT CogNet) ADDITION of (384 “separate” machine-derived records). Completed.

April 28, 2003: Title: LNCS online and LNCS online 2001 (Lecture notes in computer science) DELETION of old “single” records (710 records). Completed.

May 5, 2003: Title: LNCS online and LNCS online 2001 ADDITION of (819 “separate” machine-derived records)

**Records for the freely available materials (some journals, the Making of America Project and some University of California Press editions available through eScholarship) may be delayed pending decisions on their coding to indicate they are open access resources.

We have nearly completed cataloging of individual journals with existing OCLC records in the three A&I databases–Expanded Academic, Computer Database, and ABI Inform Global. This represents a whopping

2700 plus titles.

There were no new packages this month with the exception of 27 British Medical Journals. We also added a number of Kluwer titles.

I had a question from one campus this month about Blackwell Publishing. This is actually a change-in-progress. Blackwell Synergy (Online service) is the later form for both Synergy (Online service) and Blackwell Publishers (Online service). The problem is that all the journals haven’t migrated to the new form yet. After they finish we’ll send through an update to change all the added entries at one time.

SCP Program Update: February 2003

General news:

Direct distribution of SCP records from UCSD has now begun with the March 10, 2003 load. This includes all of the previous week’s SCP cataloging (journals, caldocs, CJK, and databases). As back up during this transition time, CDL will also have the records on their server (as backup) until April 14th.

The way has been cleared for us to begin distributing separate records for electronic monographs. (Callifornia State documents will continue to be distributed as “single” monographs). We began with the AIP conference proceedings on March 17th. Unfortunately we had a multiple duplication of records problem, which has now been cleared up. It is our goal to distribute monographic records for one individual set of monographs per at least every other week. Our next distribution will be over 500 CRCNetBase records on March 31st. I will send out a separate memo detailing the set titles and distribution schedule for the remaining dozen packages

There are 700 additional titles which have been added both to the Expanded Academic ASAP package and, to a lesser extent, to the ABI/Inform Global. Also we are sending through records for the BMJ Specialist journals to six campuses. We have added a number of journal titles for Blackwell and Kluwer.

SCP Program Update: January 2003

General news:

As of March 3, 2003, distribution of records from SCP will be handled directly from UCSD. We will post all of the previous week’s records to our server every Monday. The systems liaisons on each campus have been given instructions on retrieval. Just in case, records will be sent to CDL until April 14th, but we are encouraging all campuses to retrieve records starting today from UCSD.

I am hoping that very soon we will be able to start distributing separate records for the electronic versions of monographs. However it is necessary to wait for the University Librarians to sign off on this. The concept has been vetted by the SCP Steering Committee, HOTS, and SOPAG (plus various other committees) but still needs to be approved by the ULs.

In the meantime we are awash in monographic cataloging. AIP and ACM conference proceedings, University of California Press eScholarship editions, and California state documents are high priority items for us right now. On the serial front, we are adding a number of PCI full text and many Expanded Academic records. Very soon, OCLC is going to strip all CONSER records of their 510 fields, so we are trying to gather as many records from OCLC as we can before this happens. We will be protecting this field in the future when we overlay records from OCLC, so any whole record replacements from us for CONSER records will continue to have these fields.
