General news:

We have had a computer glitch which has now been resolved.To this day why it happened is still a mystery.For a period of three months, October to January), most of the notes fields in our SCP records disappeared.This seems to have affected primarily the records that had been updated.For instance, we changed all of the GMDs from [computer file] to [electronic resource] on the database records, so all of these were “hit.”Our section student has been putting them back in all of the database records (not a fun job!).This will not affect those of you that cut and paste the URLs, but I wanted to warn you.We are sending updated records with the message, 599UPD $b DB re-send >5XX fields. Eventually all will be corrected.

January is the time of year for processing renewals and this year is no exception.Many journals will be added to existing packages, but also some will be dropped.One new sub-package that is just beginning to be worked on are the new Business journals in the JSTOR collection.

On the California documents side, we are currently working on the following agencies:DOF Demorgraphic Research Unit,Legislative Analyst’s Office, Senate Office of Research, California Research Bureau, Bureau of State Audits, and EPA’s Dept. of Pesticide Regulation.

General news:

A new cataloger has been hired to begin cataloging California documents with electronic content.Her name is Hanley Cocks and she will begin on January 2nd.She comes to this half-time position with previous experience in cataloging the electronic IEEE conference proceedings for SCP.In addition to Hanley, Charles Macias is also cataloging California documents with electronic content.

We have made an arrangement with catalogers at the California State Library to assign official CalDocs call numbers (086 field)to those CalDoc materials that lack them.This will apply to all print materials which have online versions.We will make sure they are in the SCP records and will enhance the OCLC records to incorporate them as well.

We are in the process of converting links in the CDL hosted article databases, ABI, COMP, and MAGs to the new InfoTrac and Proquest versions, Expanded Academic ASAP, Computer Database, and ABI/INFORM Global.With these platforms, we willbe constructing URLs (PIDs) that limit retrieval to full text articles within a particular journal.For example, see: http://uclibs.org/PID/13846for full text articles in the journal, Gender and society.

On the horizon–we have received notice that the Chinese Journal Network (CJN), a majorTier 1 purchase,is being finalized by CDL and the materials should be ready for SCP cataloging soon.There are 1700 Chinese language journals in this set.It used to be named Chinese Academic Journals (CAJ) but has been taken over by a different vendor and re-named.All that will be required by the campuses is that they be able to accept Chinese vernacular records.

We also have received word that the next Elsevier contract contains terms that include access to the remaining 200 journals in the ScienceDirect database.We will begin working on these in January.It is not certain if this includes 3rd party publishers which use the ScienceDirect platform.

After a rather busy summer it looks as if we will finally be able to slow down and concentrate on cataloging records for the Computer Database (new name for COMP) and Expanded Academic ASAP (new name for MAGS).We are in the process of converting our PID links from the old CDL hosted databases to the new Gale.

This month, we have completed several journal packages and one monographic series.Among the serials are Cambridge University Press journals and MIT Press journals (beginning files sent on October 15th) and the Nature journals (to be sent on Nov. 19th).Two dozen journals were added to the Blackwell Publishing package as well.The monographic series are ten Current protocols (sent Nov. 5th).This was the first opportunity that we have had to supply both separate (computer file records) and single records (electronic information added to the print record)for the same resource.I have asked campuses to respond to me as to which choice they are making as to separate or single records for monographs.

We are interviewing for the half-time California Documents SCP cataloger on Monday, Nov. 19th and hope to have the selection wrapped up soon.

The only journal package completed this month was Lippincott Williams & Wilkins. The journals were sent to CDL over several weeks, starting with the Sept. 17th file. Now we are working on the Cambridge University Press journal package of 133 titles. Following this will be a small group of MIT Press online journals. After working with a Gale Group programmer for several months, we are finally able to structure URLs for all of the Expanded Academic ASAP and Computer Database that will retrieve full text articles within the individual journal titles. These two databases are the successors to the MAGs and COMP CDL hosted databases with the same content, but with images and PDF formatted articles. We will be converting the existing 274 MAGS and COMP URLs (behind the scenes!) in the PID resolver and eventually adding PIDs for the remaining 1300 plus titles. We are hoping to follow the same process with the ProQuest ABI/Inform database. The job opening for the half-time California Documents SCP cataloger has now been posted and we hope to fill it soon.

This has been an action packed month! SCP catalogers accomplished the cataloging of several new packages this month, both serial and monographic. From this update on, I will be telling you when the initial date of file transference to CDL occurred, so that you will have at least a ballpark idea of when records should start to show up on your servers. New serial packages include: LION journals (sent 8/27 and 9/4) and Blackwell Publishers (sent 9/4). The latter are primarily social sciences and humanities titles that should not be confused with Blackwell Scientific journals, which are known through their online service, Synergy. We also sent on 8/6 two groups of Lecture Notes in Computer Science monographs (these appear on difference websites and we split them simply for convenience). Even though they will come through slowly at first, we have begun sending records that are electronic California documents. (I will send a separate memo about these to the Cataloging Liaisons). One package that we are working on and will finish next week for sure are the Lippincott, Williams, and Wilkins journals. These will be sent in the 9/24 file.

You will notice above that I have a parenthetical qualifier after the monographic packages. In the future the type of monographic record will be identified in the “b” subfield of the 599 field as to whether it is a “single record” (electronic information added to a print record) or a “separate record” (bib record is for the electronic version entirely). For each monographic publisher package both kinds of records will be supplied, so that each campus will be able to choose which kind of record they want to be in their catalog. The “single records” will generally be first, as OCLC is creating machine-derived “separate records” for us based on our “single record” version.

General news:

The DISC section (an alias for the SCP catalogers) have a new section head as of August 6th! We WELCOME Adolfo Tarango, formerly of the University of Nevada, Reno, to UCSD. He has a very good background in serials, electronic resources, and rare books, having worked at the Clements Library at the University of Michigan, even before his stint at UNR. I am really looking forward to working with him. Another change, also effective August 6th, is the transposition of Ryan Finnerty and Kate Garvey-Clasby. He will be taking on her position as head of Database Maintenance and she will take his position in DISC. Since she is reducing her worktime, Ryan will be taking some of his DISC cataloging duties with him.

We have completed 3 journal packages this month, American Mathematical Society, American Meteorological Society, and the Oxford University Press journals. We are working on two very good sized journal packages in addition– humanities and social sciences journals from Blackwell Publisher (not the same as Blackwell Science) and Lippincott, Llewellyn, and Wilkins. Medical library folks will be pleased about the latter package, as it represents a number of coveted medical titles.

Monographs have not been neglected. We are finishing up the back files for the Lecture notes in computer science. (The publisher keeps adding more!) and are almost current with the ACM Digital Library conference proceedings.

OCLC is now offering as a World Cat Collection set to the general public our print (single record) cataloging of the first part of the IEEE Xplore conference proceedings. (3500 records!) We will be receiving this as an FTP file shortly from OCLC. This represents all the major conferences that IEEE has the rights to as far back as 1988. Next scheduled are the smaller IEE Colloquiua. We are partnering with MIT on cataloging this section and hope to have this competed within 2 months. OCLC will be creating separate records, based on our print records, not only for the above two sets but also for the nearly 800 ACM Conference proceedings. We will be doing the Springer book series, Lecture notes in computer science, the same way.

A new journal package completed for CDL this month are the American Institute of Physics journals. JSTOR also had a large number of journals added in the Arts & Sciences II collection. Soon we will be getting a large number of journals to catalog on the Ebsco platform from Oxford University Press, Blackwell Publishers, the American Mathematical Society, the American Meteorological Society, and Lippincott, Williams, and Wilkins.

We are holding off until the last possible moment, but it looks as if our first large scale deletion will be the PCI full text journals (91 journals). Campus liaisons, if your campus hasn’t already loaded the records, don’t do it at this point.

SCP catalogers have begun working on California documents. (I will be sending a separate announcement about this to the Cataloging liaisons and campus government document librarians).

This month we celebrated the completion of the cataloging of the first part of the IEEE Xplore conference proceedings. This represents all the major conferences that IEEE has the rights to as far back as 1988. Next scheduled are the smaller IEE Colloquiua. We are partnering with MIT on cataloging this section and hope to have this competed within 3 months. OCLC will now create World Cat collection sets of based on all of these records. They will ftp files of single and separate records to us near the end of July. OCLC is also creating files of records for us of the 768 ACM Digital Library conference proceedings using the same Collection set procedures.

Soon to be available for us to catalog are journals on the Ebsco platform. This will include a large number of titles from Oxford University Press, Blackwell Publishers, the American Mathematical Society, the American Meteorological Society, and Lippincott, Williams, and Wilkins.

We are also gearing up for a brand new cataloging “adventure.” Beginning in July we will start to catalog online California government documents. First in will be document serials. Then we will take an agency by agency approach. We will be hiring a half time LAIII in July to work on this as well.

The PCI (Periodical Contents Index) full text package has been completed and sent to CDL. In addition, records for the BioOne package have been completed. As soon as the licensing contract has been finalized, we will send them to CDL.

OCLC has finished processing our Association for Computing Machinery (ACM) file of 723 monographic conference proceedings which we had sent to them for creation of a WorldCat Collection set. They expect to produce a second set of machine-derived electronic reproduction records. We will be sending them an additional 80 plus conference proceedings which just appeared to include in the initial set. In addition to ACM, we are about 70% through cataloging the IEEE Xplore monographic conference proceedings (those with ISBNs). This will also be a WorldCat Collection set.

The conference proceedings that are part of the IEEE Xplore and ACM Digital Library are all being cataloged as individual monographs. We realize that some of the campuses may have serial records for some of them. At least for the ACM serial titles, instead of sending SCP records to CDL, we will send an email to the SCP liaisons by the end of May with the individual serial titles, their OCLC numbers, and PIDs which link to “serial-like” individual ACM pages. It will be up to the individual campus as to whether they will use them or not. More on this later.

General news:

A new ejournal package for us this month is PCI (Periodical Contents Index) full text. We will have cataloging completed on the current journals in the set by the end of May. Many of the titles have full text coverage from other publisher packages for different periods of time so they may have multiple URLs.

SCP catalogers are just starting to send through serial records with PIDs for the journals in ABI/Inform and MAGS that have full text articles. A sample record to look at in the PE database for this kind of electronic access is American criminal law review. NOTE: This record is UCSD at this point. When the CDL record comes through to your servers, it will not list the additional access through Academic Universe.

Tier one and two monographic database records are being sent to CDL as part of SCP. They can be identified on records sent to your server with a 590 note which reads: CDL licensed database. There is no routine identification possible through MELVYL, but if you use a keyword search on the UCSD Roger OPAC (http://roger.ucsd.edu ) and type n:cdl licensed database, you can at least see what Tier one database records are in the pipeline. If you have particular Tier one or two databases that you want expedited, please send us anemail.

A file of monographic conference proceedings from the Association for Computing Machinery (723 titles) has been sent to OCLC for them to use as a WorldCat Collection set. They will produce two types of records for this set– one will be based on the print record with electronic information added. The other will be a machine-derived electronic reproduction record set. If libraries choose this form, they will be able to load the records into their catalogs without having to dedup them first. The downside is that they will appear to be very similar to existing print records. Individual campuses will get to make a choice as to which form they want.

We are continuing to make headway on the IEEE Xplore database, focusing primarily on the IEEE conferences. MIT will be partnering with us to create records for the IEE Colloquiua as part of another OCLC WorldCat Collection set in May and June of this year. We have hired a part time cataloger to help us with the Xplore database.

Campus medical libraries will be happy to learn about two new journal packages this month–32 Mary Ann Liebert journals and 106 journals associated with MD Consult.

We have also begun (slowly!) to send monographic database records to CDL as part of SCP. The new buzzword for these is “integrating resources.” They can be identified with a 590 note which reads: CDL licensed database. Many more will follow next month.

General news:

We have been working on monographic conference proceedings from the Association for Computing Machinery (729 titles) and the IEEE Xplore database. We expect to hire a part time cataloger as a casual employee at the end of February to work on the Xplore set. We are handling the cataloging of the Xplore database through OCLC in three stages: 1) those conferences with ISBNs; 2) colloquia; and 3) IEEE standards.

One of our catalogers has resumed working on the ABI/MAGS/COMP project. (A link will be made from the bibliographic record to the full text (selected) for journals indexed by the article databases, ABI, MAGS, and COMP. (See October CDL update for further information on this project).

We sent a consolidated SCP file of e-journals to UCSC at the very beginning of February (and expect to do so for UCSF soon).

Testing has been completed for SCP monographic records, so we will start sending records for CDL licensed databases after the SCP Steering Committee determines a few details.
