Featured New E-Resource for July-September:

Journal@rchive. This is an almost completely open access package from Japan that is the equivalent of PubMed Central in the United States. This database contains the backfiles for the journals in J-STAGE. So far we have added backfiles fora number of important journals such as Cell Structure and Function, Acta Histochemica et Cytochemica, and the Journal of Chemical Engineering of Japan

Serials:

The theme of this quarter’s report would appear to be a large number of historical journals and backfiles. In addition to the Journal@rchive mentioned above, the remaining 1000 plus titles of America’s historical newspapers, 1680-1876 (formerly known as Early American Newspaper, Series I) will be sent to the campuses on Monday, February 5th. We worked on that group from September through December last year. The PsycARTICLES database now has most of their journals going back to volume one.

Monographs:

The CRCnetBASE group of databases and monographs has shown tremendous growth–an increase of 1100 titles. We now have licensed access to all of their materials, rather than just some of the databases.

In my last report I talked about the machine harvesting and merging of LC subject headings from leading library catalogs to be added to the MARC records for ECCO (Eighteenth Century Collections Online). This is actually coming to fruition with about 55-60% of the 130,000 records having subject headings added. (About 28% of the Collection are literary works). The records are expected to be re-released on July 1st. Jeffrey Garrett, AUL for Collection Management at Northwestern University has written an article in Volume 68:no. 1(January 2007) issue of College & Research Libraries, entitled. Subject Headings in Full-Text Environments: The ECCO Experiment. There has been a very recent agreement signed between the British Library, ESTC, and OCLC to include these records in OCLC.

Featured New E-Resource for July-September:

Classical Music Library. This is a wonderful Tier One fully searchable classical music resource structured around works and performances rather than CDs. The music goes from medieval to contemporary and is also linked to Groves Music online. It is partnered with two other resources from Alexander Street Press–Smithsonian Global Sound for Libraries and African American Song. The URLs are respectively http://uclibs.org/PID/110097 (AAS) http://uclibs.org/PID/110098 (CML) and http://uclibs.org/PID/110099

The appearance of new journal titles is decreasing as we move to more of a steady state of taking in new journals but requiring other journals to drop. This is in order to make a consistent pricing policy. SCP catalogers are continuing to make headway on using SFX open URLs when possible. Often, though, there is an unavoidable delay as we need to wait until they are in the SFX knowledgebase before we can use them. There is a “plus” side–whenever there is an existing record with an SFX open URL, additional URLs for aggregator packages can be turned on in an instant. Recently the syntax changed so that it is now:

During this quarter, much of our work has been focused on monographic cataloging. We recently released bibliographic records for Early English Books Online (EEBO) and are turning our attention to a more recent century–ECCO (Eighteenth Century Collections Online). I have good news about ECCO! For six years now we have tried every way possible to incorporate subject headings (for all but literature) and Library of Congress classification numbers in both monographic and serial individual records. With the exception of part of the EEBO record set, we have largely succeeded. Along came ECCO– 130,000 titles with no subject headings whatsoever. This was frustrating because I knew by doing a little sampling that other versions or editions of the records had plenty of subject headings. When I talked to the ECCO rep, he told me about an extremely interesting project going on right now.

A program is underway between a number of universities and the ESTC to ‘harvest’ those Library of Congress subject terms from leading library catalogs that have those books in their collection in print and have assigned

them appropriate subject terms. I believe that Northwestern is spearheading the project. The goal is to be ready to ship updated MARC records and incorporate them into the ECCO database by the end of the first quarter of 2007. Using technology to supply needed access points like this appeals to me, as this was definitely not a project that could be done on a one by one basis.

SCP Program Update April-June 2006

Featured New E-Resource for April-June:

Philosopher’s Index (CSA). This is an index database produced by Philosopher’s Information Center covering scholarly research in all areas of philosophy. The literature covered goes back to 1940 and includes journal articles, books, book chapters such as contributions to an anthology, and book reviews.

The Index has the longest “rolling out” period of all of our resources. UCSB gained access first on April 15th. Seven more campuses (UCB, UCI, UCLA, UCM, UCR, UCSC, and UCSD) began access on July 1st, and UCD and UCR will follow up on January 1, 2007.

Serial news:

SCP catalogers began on July 1st to use SFX openURLs on new and existing serial records. These URLs will be used in lieu of PIDs to the greatest extent possible. The same URL, depending on your IP address range, points to the UC-eLinks screen that reflects the local campus instance of what you have licensed. There may be multiple points of access in a record, but, over time, each of the different PIDs will be replaced by the one SFX OpenURL which will then take the patron to a screen of choices. The syntax looks like this:

Click on the Link and it will take you to the UC-eLinks screen for UCSD. The screen should already be familiar to those of you who use Expanded Academic ASAP. At the current time, we are using a PID “over” the UC-eLinks pointer. Eventually we will be dropping the use of PIDs and substituting the direct link to the UC-eLinks screen as shown above. One very nice benefit of this type of URL is that, even though the SFX OpenUrl is longer than a PID, the URL itself is predictable–all you need to know is the ISSN of a journal and for those journal titles that are turned on in the UC-eLinks Knowledge Base, you can substitute the ISSN for the xxxx-xxxx (above) and you will be taken to the SFX screen that represents the holdings for your campus.

Why are we doing this? The reason that we are making this change is to bring into closer alignment the representation of the many licensed and open access serials that are available to each of us with the SFX instances that are unique to each campus. Our goal is to use them–but we will not always succeed. It is possible to use a workaround, but generally speaking, the SFX OpenURLs as at this point generally require that the bib record have an ISSN that is recognized in the SFX knowledgebase. California government document serials generally do not have ISSN so we will continue to use BibPurls. Also, sometimes commercial publishers put all volumes of a serial “family” under the latest title and the ISSNs of the earlier titles may disappear. In this case we will continue to use PIDs.

This month I wanted to talk more about the addition of the SFX Object IDs to the records. Having the Object IDs in the bibliographic records will enable our cataloging records to be more closely in sync with the SFX Knowledge Base. This insertion will also provide a number that can be used across a number of systems– from Verde, to SFX, and to each campus catalog.

All but about 3000 of them were able to be matched programatically to the right records. As we are now doing the look-up by hand, we are finding out why the remainder didn’t overlay. If there is a non-match, or a problem with the journal title and the SFXObjID record, we are recording this fact in the MARC 035 field (System Control Number field). Here is an example:

This means that we failed to find an exact match on March 23, 2006. We’re just getting started on this, so you won’t find too many yet.

Sometimes the SFXObjID has multiple titles in it and sometimes there is no SFXObjID at all. On the advice of Margery Tibbetts, we’re being very conservative– we are matching on the title in the title field. Only when there is a match will we add the SFXObjID to the bib record and resend it to the campuses. If the title appears in one of the other fields, we have not included that ObjID number in our record. Those are the cases where we add the $z SFX no as above.

Here are a couple of real life examples– many of the problems relate to earlier and later titles.

Journal of Chromatography A. This has the later title (Journal of Chromatography A linked up with the ISSN of the previous title, Journal of Chromatography). During the automated overlay, the ObjID number went in the earlier title by ISSN. For the later title we put in a SFXObjID no 060323. We will be notifying Margery on most of these cases– it will be a good way to find out what needs to be changed.

Genetic analysis. This has two titles on the ObjID record (Genetic analysis, techniques and applications in the Main Title area and, the later title, Genetic analysis biomolecular engineering appears in the abbrevTitle area. So we put the SFXObjID in bib record for Genetic analysis, techniques and applications and “SFX no” on the later title.

All new cataloging will have this field checked in the SFX KnowledgeBase and added to the records during the cataloging process.

SCP has redistributed a file of all the serial records that we have created since February 2000. There were several reasons for this redistribution– but the main points were the addition of the current state of subscription information for each point of electronic access for a title, and, more recently, the addition of the SFX Oject IDs to each title. All but 3000 Object IDs were able to be matched programatically. The remainder will be done by hand over a longer period of time. All new cataloging will have this field checked in the SFX KnowledgeBase and added to the records during the cataloging process. Having the Object IDs in the bibliographic records will enable our cataloging records to be more closely in sync with the SFX Knowledge Base.

The SCP catalogers have just begun to undergo training in CONSER authentication with Valerie Bross and Melissa Beck (UCLA). We expect to be able to contribute many electronic records to CONSER once we finish training. While we continue to use “print” records as our base, there are some packages, e.g., DOAJ, that have more than half of their titles as born digital.

For monographs, attention has been focused this month on trying to get the National Academies Press monographs ready for batch processing. We do expect to distribute these records in April. We are also preparing a contract with OCLC to receive MARC records for the Knovel Libary. This latter set is the first time that we have had to catalog a monographic set as a Tier 2, for which UCSD has also not had licensed access.

For the last year we have been planning a redistribution of cleaned up SCP serial records to the campuses. The project started with the addition of adding the acquisition status of active/inactive online subscriptions of each package access in a serial title, and progressed to other, mainly batch changes, which resulted better records. During the SCP road show trip to Berkeley, the idea was proposed and accepted that we enter the SFX control number into each one of these serial titles, since we were going to redistribute all the serial records anyway. This appeared to be a good proactive move as it would allow us to insert one “hook” in the record to link between our disparate campus catalogs and the portfolio in Verde. We announced that, in order to accommodate the insertion of the SFX numbers into the MARC 035 (System Control Number) field, we would suspend distribution of SCP serial records while this was going on. Most of them (88%) were inserted programmatically without a hitch. Unfortunately there were 1600 titles with ISSNs that did not go in. We’re still trying to figure out why not. They all have object IDs in the SFX KnowledgeBase. If need be we can enter them by hand, but we are trying to avoid this. We are aiming now at a March 20th resumption of distribution of serial records. (We have continued since January to distribute monograph records on a weekly basis).

There has been no change in our cataloging of serials, so there will be a great many new serials and updates when we do resume. There is only one new package–American Association of Cancer Research. This is a small package of medical journals. Significant contributions were made to DOAJ, Sage, and the Periodical Archive Online (formerly PCI full text). We have supplied records for 60 Archaeological databases in EHRAF. Renee has finished cataloging all of the Springer backfiles and is working on Blackwell Synergy and ScienceDirect.
