December is always a short month in terms of cataloging but even so we managed to move along a number of journals and monographs. Some of the campuses (medical) now have access to AccessMedicine. We are current with records for our two main A&I databases–Expanded Academic ASAP and ESBSO Business Source Premier. Because of the lack of stable URLs at the individual title level, we will not be offering records at this time for the new Factiva database. It is a difficult database to navigate. A substantial number of titles were added to the WilsonWeb Education Index FT (21) and the Literature online (LION) (28) databases

As you can tell by the PID for the featured journal last month, we have gone over the 100,000 mark with e-resources with PIDs

Upcoming work: We have two more Springer journal files to finish as well as additional titles to be cataloged for the WilsonWeb art full text database. I have begun sending out records for the American Periodicals Series. Now that all of the campuses have a new, expanded subscription to Access World News, we will be sending records for new international newspapers as well as an expanded list of national and California newspapers. This database has had a history of title changes–first it was Newsbank FT newspapers, then America’s newspapers, and now Access World News.

This will involve a heavy amount of batch processing before we can send the records to the campuses, but we recently made at least a first step of exporting over 2000 titles for the National Academies Press monographs to Roger.

SCP Program Update September-November 2005

I’ve been writing these updates for five years now and this is the first time that I’ve published a “combined issue” (three months). I’m hopeful that this will be enough to keep me on the straight and narrow for awhile and that this will not become a “normalized irregular” pattern. (See your local serials cataloger, if this needs explaining).

During the months of August through November, Terry Vrable, Ryan Finnerty, Adolfo Tarango, and I put on the “SCP roadshow” at each of the campuses. The purpose was fourfold– to explain the CDL acquisitions process (Terry); give a brief history of the Shared Cataloging program and put it in perspective (Adolfo); talk about the different cataloging processes for monographs, serials, and databases (Becky); and explain the batch record and distribution processes used to actually create the records that we send to the campuses (Ryan). The audiences were attentive and we felt very welcome on each campus. Part of our reaching out was to see what changes and tweaks we could make on our end to make the process easier on your end. And part of our goal was to answer questions that the campuses had. Every campus has different means of processing the records, but the four of us could definitely see that the goal of making consortially licensed materials available in your local catalogs is the same everywhere.

Journals: We are about half way through cataloging the SpringerLink backfiles. In terms of subjects, we still need to complete the files for Medicine, Biomedical and life sciences, Mathematics and Humanities, Social Sciences and the Law. In addition we have two other journal packages that are being cataloged: Early American newspapers and the American periodicals series. This IS December, however, and work will be slowing down soon over the holidays. I’m even going on vacation next week. Which leads me to say that, regretfully, the two new packages which surfaced this week: Factiva and Access World News (an expansion of the former America’s Newspapers from NewsBank) will have the cataloging of their individual titles delayed.

Monographs: With the amount of attention that we have been spending on journals lately, the only groups of monographs that have received significant amounts of cataloging are IEEE Xplore, SPIE and Lecture notes in computer science. We have also distributed Safari Tech books to all the campuses. Karen Peters is working on EEBO records, but we don’t have a firm date on which these will be distributed.

This month has seen a solid number of additions to both journals and monographs. The EIU Country Profiles have seen a number of title changes. Their bibliographic records used to include multiple countries but they are now split into one country per bibliographic record. Since the publishing firm of Marcel Dekker was bought by the non-CDL-licensed publisher Taylor and Francis effective January 2005, we have closed off their journal holdings at the end of 2004 and transferred URLs to the MetaPress platform for continued access to the previously licensed volumes.

We are in the process of filling in a number of journal backfiles. Springer backfiles for the following collections are in process: Earth & environmental sciences; humanities; Social science and law collection; engineering; and computer science. We have finished Chemistry and materials sciences; physics and astronomy; and the Springer behavioral sciences. For Wiley, we completed backfile additions for their Materials science colleciton in addition to their Cell and Developmental Biology backfiles.

For the monographic side we have cataloged 448 new titles (2005) of the University of California Press eScholarship editions. There still remain 179 older titles for this set which will be done in October. We are hoping to start distribution of the EEBO records to the campuses the first week in November, assuming we can work out a satisfactory method of distribution involving Melvyl.

SCP Program Update July 2005

There are two new monographic packages coming up soon–ECCO (Eighteenth Century Collections Online) and Materials Research Society online–the latter is another set of conference proceedings to add to our current record sets for AIP, ACM, IEEE Xplore, and SPIE. The MRS set has around 280 volumes and is issued semiannually. Each volume has around sixty papers in it. While it is not feasible for us to provide a catalog record for every paper, we are planning on providing a contents note which will include all the papers, thus ennabling keyword searching to be performed. Records for the ECCO set are vendor records and will be arriving shortly at UCSD on CD-ROM. We will load them into our catalog from there.

After some delay, an additional 750 DOAJ records (OCLC records) is scheduled for delivery to the campuses on Sept. 12th. This is a moving target– many more titles are continuing to be added to DOAJ. One of the major packages within DOAJ is J-STAGE. The records that will be sent out on Sept. 12th for J-STAGE may need to have some vernacular fields added in the future. Also there are some issues with the fonts required to see the script. Recommended is the font names arialuni.ttf (available through the latest version of Microsoft Office).

SCP Program Update June 2005

This has been a month of vacations–at least for some of us. Adolfo went to China for a couple of weeks and I went to Wisconsin and Michigan on the train. Work goes on however, despite our absences! With the monographs, we’ve been catching up on a variety of conference proceedings and the series, Lecture notes in computer science.

There was a major deletion of serials scheduled for August 5th. This is the entire ABI/Inform Global database (consisting of over 1000 journal titles). Substituting for it is the EBSCO Business Source Premier, and, at least for some campuses, the forthcoming Dow Jones-Reuter Factiva database.

With serials, the emphasis is still on cataloging journals in the DOAJ portal. There are about 100 left to catalog in the original group of 1595 journal records downloaded in May. We have also begun adding holdings for journals in the SpringerLink Historical Archive, but have found that there is a problem with gaps in the holdings. Springer issues a monthly report on their archive at:

We are shifting package titles slightly, so that all Open Access journals will be grouped together beginning with the phrase: Open access resource selected by the UC Libraries. This includes journals in DOAJ and all of the California documents.

SCP Program Update May 2005

With this months message I will be shortening the size of the report by giving you a link to the current number of monograph, serials, and databases that we have cataloged at the SCP Updates web page, instead of appending it to the General news section. If you still wish to receive the update with package titles, let me know and I’ll continue sending it to you in the way you wish. It was getting a bit long for most people.

Monographs have received pretty short shrift this month, as the focus has been on getting DOAJ (Directory of Open Access Journals) processed. What an enjoyable group of journals this has been–such a diversity of nationalities, languages, and subject areas! We have distributed records for about two thirds of the titles, and expect to finish the remainder by early August. The Roger catalog has the 1400 already cataloged journals in the title index under: Open access resource; selected by the UC Libraries. DOAJ. In order to expedite the cataloging of the DOAJ journals, we have taken a couple of temporary shortcuts. The records are the appropriate OCLC records and we have recorded the holdings and date coverage in the URL field, but the records may lack call numbers, LCSH, and the locally assigned discipline subject headings.

The first visit of some of the SCP and CDL Acquisitions staff took place on July 15th with a trip to the newest campus, UC Merced. It was a full day and I think that there was a good give and take of information between SCP and Merced. Since the “real” library wasn’t finished, we were disappointed not to see the building. The library is expected to be open with the start of classes in September.

SCP Program Update April 2005

Members of the SCP cataloging staff are about to hit the road. Four of us will be visiting individual UC campuses both to share our acquisition, cataloging, and file manipulation processes and to learn

from you how you receive and use the MARC records that we send you. The sharing of best practices will be high on the agenda! Our first visit will be to our newest campus, UC Merced, on July 15th.

Due to some questions that I have had this last month about how we link, I thought I would offer a brief explanation of our linking practices in the MARC records that we distribute. Sometimes it seems as if catalogers and the publishing community work at cross purposes. Catalogers need consistency and persistence in the URLs that we put in our bibliographic records and the publishing community and government agencies change their URLs much more often than we would like. Therefore we use a system that allows us to parlay the native URL through a link redirect service. These result in “persistent identifier” links (PIDs) for licensed resources, BibPurls for open access resources, including California state documents, GPO Purls for federal documents, and ARKs for UC controlled resources. Once we use these persistent URLs, they just stay in the bibliographic records. If we need to make changes (and that’s a given!) we do it behind the scenes using the “resolvers.” We

can change the URLs behind the PIDs and BibPurls ourselves–but rely on the Government Printing Office and UCOP to maintain the latter two groups. If we didn’t use this system, we would have to resend the bibliographic records every time a URL changes–thus using a resolver makes URL changing really invisible to catalog users. Under consideration for serial URLs is using an open URL structure of link (either with or without a PID on top of it) that is basically a link through SFX (UC e-LINKS). An example of this is http://uclibs.org/PID/10273. The underlying SFX link for this takes

Monographs: We have nearly completed distribution of the Readex Early American Imprint 1st series. Readex is not very far with the digitization of Early American Imprint II (Shaw-Shoemaker); nor do they have individual links to individual titles set up yet. What this mean to you is that when we initially distribute records for these to you, the links will go to the database itself, not the individual title. We are trying to convince Readex to move up the creation of individual links on their business plan.

Serials: We have been asked to focus on cataloging of the Directory of Open Access Journals (DOAJ). As a result an additional 600 OCLC records for new titles will be released in late June, followed by updates for records that already have some SCP access. After that, we will be releasing brief records (after an additional search on OCLC) for the remaining titles. These will be “in process” records that will have an ISSN, title, coverage note, and URL link. These latter records will be upgraded as time permits.

SCP Program Update March 2005

General news:

Monoographs: Some of our MARC records are about to be used in new and different ways. CDL has requested that our University of California Press monographic MARC records be sent to thm for use in creating MODS (Metadata for Object Description Standard) records. These MODS records will be embedded in METS (Metadata Encoding & Transmission Standard ) records as the description metadata section. These records then become the foundation for access to the eScholarship books at the repository site. These include not only the base set of records but an additional new group of 450 UC Press books. (We are still waiting for the links to become “live” before sending you the records).

An additional monographic set which some campuses have now is the Digitale Bibliothek deutscher Klassiker im WWW. This ongoing set, published by ProQuest/Chadwyck Healey, is a collection of classic German writings now appearing electronically for the first time. UCSD has collaborated with Northwestern to produce the MARC record set for ProQuest.

Serials: During the last year, Marcel Dekker (publisher) was bought out by Taylor & Francis. We have no license agreement with T&F so we recently closed off electronic access to all the Dekker journals at the end of 2004.

Access to the CSA version of the MLA database was recently turned on. CDL has created a Directory screen for the bibliography: http://uclibs.org/PID/83591 and the MLA directory of periodicals: http://uclibs.org/PID/83592 Access through OVID will also continue through the end of June. 31 titles were added to JSTOR Arts and Science 3-4 and A&S complement and approximately 70 titles were a net gain for ScienceDirect.

SCP Program Update February 2005

General news:

The driving force for SCP in the early part of every year is the fallout engendered by calendar year journal cancellations and additions. This is on top of the normal flurry of activity of cataloging new monographic packages and databases. This year is no exception!

Monographs: Additions to monographic record sets this month, besides the usual conference proceedings, include complete cataloging for the analytics of the Methods in enzymology series available through ScienceDirect. http://uclibs.org/PID/61958 Upcoming packages that we are working on include 450 University of California Press eScholarship titles, National Academy Press (finally!), and even several hundred additions to Making of America.

Serials. Cataloging of EBSCO Business Source Premier and Sage are ongoing. Because of linking problems in Expanded Academic ASAP, we are planning to transfer our current linking in the journals from Gale to the SFX platform. If there are multiple links in the bibliographic record, they will go to an SFX service menu. I don’t have any examples for Expanded yet, but it will look like the PsycARTICLES link on the International Journal of Stress Management http://uclibs.org/PID/37239 Since we have PIDs, this transferring will be done behind the scenes in the PID server and we will not have to redistribute bibliographic records.

I have been asked about when we are going to catalog the rather large number of DOAJ journals (Directory of Open Access Journals) that remain uncataloged. We do need to place our highest priority on keeping current with licensed resources, but we will try to get to at least some of DOAJ. There is a “bibliographer request form” that can be used to ask for individual open access journals (this includes any DOAJ) at: http://www.cdlib.org/inside/projects/scp/SCPcatalog_request.html Please alert campus bibliographers to use this form.

SCP Program Update January 2005

On April 1st the name of the Shared Cataloging Program will become part of the Catalog Department organizational chart. I misspoke last month– the actual name of the Division of which the Shared Cataloging Program is a part will be the CJK, Serials, and Shared Cataloging Division. There will be only minor changes, with the work being centralized amongst Hanley Cocks, Kate Garvey-Clasby, Renee Chin, Becky Culbertson, and two very important students, Jordan Darr and Colin Schwartz. We all do our share of both monographic and serial cataloging. As before we will report to Adolfo Tarango who is the Division head. There are no changes planned in contact information for operational level problems and questions. Karen Peters and Ryan Finnerty, while not part of our section, collaborate with us to create and modify records in batch and also to put MARC record files up for campus to put in their OPACs.

Monographs: Additions to monographic record sets this month include more conference proceedings for the ACM Digital Library, the SPIE Digital Library (up 800), IEEE Xplore, and IEEE standards, in addition to 280 Black drama (Alexander Street Press).

Serials. As before, we are still working on the EBSCO Business Source Premier serial records. In March we will distribute over 340 records for the publisher Sage. This is the first time that we have had the same publisher split titles between platforms– there will be 120 on the HighWire platform and 220 available through the CSA Illumina platform. The reason for this is that the CSA has much more coverage, an average of 20 years, whereas the HighWire platform only goes back an average of 5 years. In January, the holdings of some of the Duke University Press journals moved from Project Muse to IngentaConnect. For years, we were just adding content, now it would seem that we are on to the next stage of adding AND moving.
